Introduction

SCOUTIFY places great importance on protecting users' personal data. This privacy policy explains what information we collect, why we collect it, who we entrust it to and how long we keep it. It covers the scoutify.fr website and the app.scoutify.fr platform.

Collected Data

When using our website and platform, we collect the following information:

Account data : surname, first name, email address, job title, country, roles; the phone number entered at checkout
Browsing data : IP address, browser type, pages visited
Usage data : interactions with the platform, preferences and usage history

Data Entrusted by Our Customers

Player records and trial registrations are not collected by SCOUTIFY for its own purposes. They are entered by the subscribing club or agency, or collected for it on a form we host; it alone decides who it follows, who it invites and why: it is the data controller, and SCOUTIFY hosts them on its behalf, as a processor.

These records may contain: identity, date of birth, nationalities, sporting attributes, contract status, documents and contact details, entered by the customer or completed from a public sports database (API-Football).

Trial registrations contain: identity, date of birth, contact details and answers to the organising club's form, with the legal guardian's contact details for a minor. They are readable by that club only and are automatically deleted 12 months after the trial.

Each record and each registration is private to the workspace of the customer holding it. SCOUTIFY does not access them for its own purposes, does not cross-reference them between customers, and does not use them for advertising or audience measurement.

A record only leaves that workspace on an explicit action by the customer's users: sharing a link, sending to a partner, publishing on the network. SCOUTIFY never passes a record or a registration from one customer to another on its own initiative.

If you are a player or a trial applicant and wish to exercise your rights over data concerning you, the request lies with the club or agency holding it; SCOUTIFY will help you identify it if you write to us.

Use of Data

The collected data is used to:

Provide the service: manage your account, your subscription and the records you enter
Improve the user experience and offer suitable content and services
Ensure the security of the platform
Measure website audience and product usage

Recipients and Processors

SCOUTIFY neither sells nor rents your personal data. To run the service, we entrust it to the following providers, each for a specific purpose:

OVHcloud : hosting of the website, the platform and the databaseFrance (Gravelines), with no transfer outside the European Union
Stripe : subscription payment and invoicing; Stripe collects your card details itself, SCOUTIFY never sees themIreland and United States, under standard contractual clauses
Cloudflare R2 : storage of documents uploaded to the platform (photos, passports, contracts, CVs)Cloudflare's global network, under standard contractual clauses

We may also disclose your data where required by law or at the request of judicial authorities.

Cookies and Audience Measurement

The scoutify.fr website uses PostHog to measure its audience. PostHog sets a cookie (prefixed ph_) from your first visit, without a consent banner, to count visits, page views and the steps of the subscription funnel. This data is hosted in the European Union, is used neither for advertising nor for profiling, and is neither sold nor shared for other purposes. On the app.scoutify.fr platform, the same tools are used to understand product usage and detect errors; there, events are linked to your user account.

You can block these cookies in your browser settings: the website and the platform work fully without them.

Data Security

We implement appropriate security measures to protect your data against unauthorised access, loss or alteration: encrypted connections, strict separation of each customer's data, revocable sessions and role-based access control.

Data Retention

Retention periods depend on the processing:

User accounts : for the duration of the subscription, then until deletion is requested by the customer or by the person concerned
Player records entrusted by our customers : as long as the club or agency that entered them keeps them in its workspace; they are deleted when it deletes them or when its account is closed
Trial registrations entrusted by our customers : 12 months after the trial date, then automatic deletion
Billing data : 10 years, in line with accounting obligations
Technical logs : 14 days
Backups : 30 rolling days
Audience measurement : browsing data from the scoutify.fr website is not linked to your identity; it is kept by PostHog, in the European Union

User Rights

In accordance with data protection regulations (GDPR), you have the following rights:

Right of access : view the data concerning you
Right to rectification : correct inaccurate information
Right to erasure : request the deletion of your data
Right to object : refuse the use of your data for certain purposes
Right to portability : receive the data you provided to us in a readable format
Right to restriction : ask us to freeze the processing of your data while a check is carried out
